External Course Pre-Approval

External Course Pre-Approval听(ECPA)听Web听Form听听

Undergraduate students who have a minimum cumulative GPA of 2.50 and who wish to take courses for credit outside 国产AV, as part of a study abroad program, during summer school at another university, during a vacation break, or while taking a leave of absence from AUP, must secure听written听permission from the Registrar听prior to taking the intended courses.听Otherwise, these credits may not be approved for transfer back to AUP.听

To secure written permission, students must use the听听to apply for approval for the classes to transfer back to AUP.听听

Note: this form is ONLY for post-matriculation external courses听(courses taken after a student starts their studies at AUP).听Students who earned credit at other institutions before attending 国产AV听must听submit these to the AUP 国产AV office before the end of their first semester at AUP. Rules About Credit Transfer
  • Only students with a GPA of 2.5 or greater may take external courses for transfer.听
  • No more than 64 transfer credits (pre-听and post-matriculation combined) can be used听towards a degree.听

  • 50% of all upper-level coursework (3000 and 4000 level courses) in the major must be completed at AUP听

  • No more than 8 transfer credits can be used to complete a minor听

  • No more than 18 transfer credits are allowed post-matriculation unless completed in an听AUP approved exchange program听

  • A student鈥檚 final 16 credits prior to graduation must be completed at AUP.听

  • No credit will be accepted for transfer for grades below 鈥淐鈥澨齩r for courses taken credit/no credit听(also known as Pass/Fail)听

  • Official, final transcripts from the external institution must be received by AUP's Registrar Office within one semester after course completion to finalize the transfer of credits.听

How To Use The Webform

1 鈥撎齀f you are planning to study abroad听in the fall or spring semester or are taking any external courses with the intention of earning credit for them at AUP, update your degree requirement worksheet听to see if听you are eligible to take courses outside AUP and how external courses will fit into your academic plans at AUP.

2 鈥撎齊esearch outside institution(s) and put together a list of courses and descriptions.听

3 鈥 Schedule听an appointment with your听faculty听advisor听to听review your updated degree worksheet and potential external courses.

4 鈥撎齀f your faculty advisor agrees with your external course plan, open the web听form and fill it out听the following sections with your faculty advisor:听

  • Student Information听
  • External Institution Information听
  • External Course Information听

5 鈥 Then click 鈥淪end鈥 at the bottom of the page.听

滨惭笔翱搁罢础狈罢听狈翱罢贰:听You must fill out a web听form for听each听area of credit application. This means you and your faculty advisor may need to submit more than one web form.听

  • Major Requirements听听
  • Minor Requirements听听
  • GLACC-CCI (Integrative Inquiry) Requirements听听
  • GLACC- CCM and CCS (Math and Science) Requirements听听
  • Only Open Electives听听

Note: you can also include Open Electives听on a Major, Minor, or GLACC web form submission听鈥 just write 鈥淣one鈥 in the听field听鈥淚ndicate which Major OR Minor OR GLACC requirement the course fulfills at AUP鈥澨齠or that external course.听

6 鈥 The student checks their email to see if they received a confirmation email for the web听form submission(s) titled 鈥淧etition for External Course Pre-Approval Submitted.鈥 If the student does not receive this message,听then听the form was not听submitted,听and they will need to submit it again.

7 鈥 The faculty advisor checks their email for a message titled 鈥淣eed Advisor Pre-Approval of External Course.鈥澨齀f the faculty advisor does not receive this message, the form was not submitted听correctly,听and they will need to submit it again.听

8 鈥 The faculty member听must open and edit the form to approve or deny the request.听听

9 鈥 If the faculty member approves the request, the form is then听sent to the Registrar鈥檚 Office, the relevant Department Chair or GLACC Chair,听and Academic听Affairs for approval.听

10 鈥 If the request is approved by all reviewers, the student and faculty advisor will receive an email听saying,听鈥淓xternal Courses Have Been Pre-Approved for [Student Name].鈥澨

11 鈥 If the request is denied by any of the reviewers, the student and faculty member will receive an email saying the request has been denied.听

12 鈥 After the student completes the external coursework, they must submit an official transcript to the Registrar鈥檚 Office one of two ways:听

  • Request the external institution send an official听transcript electronically to听registrarofficeataup.edu
  • Request the external institution send听an official transcript听by mail to the following address: The American University of Paris | Registrar's Office | 5, boulevard de La Tour-Maubourg听| Paris听75007听France听

13 鈥 When the transcript is received by the Registrar鈥檚 Office it will be processed and the credits transferred to the student鈥檚 AUP academic record.听Official, final transcripts from the external institution must be received by AUP's Registrar Office within one semester after course completion.听
